About the Release

As part of the Octiv Winter ’17 Release we plan to deliver the following updates and enhancements to customers. Please review the Release Notes and Release Resources for more information.
Please note: These release notes do not contain bug fixes.

Rollout Details

Monday, February 13, 2017:
All customers will receive product updates on Monday, February 13, 2017. There will be no downtime for the platform or documents during rollout.
Please note: release dates are subject to change.

How and when updates become available.
Some features in the release affect all users immediately after the release goes live. Other features require direct action by an administrator before users can benefit from the new functionality.

Important Announcement: End of Life of Ad Hoc Reporting

After careful consideration of our beta testers input, we have determined to retire the beta version of the ad hoc reporting interface on February 13, 2017. After that date, the Insights (beta) tab will no longer be available, and any custom reports that have been saved or scheduled will no longer be able to be accessed. But rest assured, Octiv is committed to providing a flexible and intuitive way to report on all operational use and document performance across the enterprise. Look for updates to the Reporting tab in the Winter ‘17 Release.

Saved Filter Settings for Each User

To sort and filter your data to analyze it, use filters. Filters let you hide data that you don't want to see. As you filter your Document or Asset Views views, the Octiv application will now remember your preferences for filtering and sorting for the next time you access the application.

Find Content with Tags

Users now have the ability to search by tags right from the document. Now when you use the search bar, you have the ability to see all the tags your administrator has used to organize the assets so you can easily find what you're looking for. This update also includes the ability to select more than one tag from the picklist to refine the search results.

Octiv API Documentation Update

Our API documentation is now easier for customers and developers to understand and use. We have completely redesigned and rebuilt the way end users can interact with the Octiv API. Allowing you to easily build Octiv functionality right into your web and mobile applications or just use the API to make Octiv work the way you you want it to work. The Octiv REST API allows developers to access core Octiv data and provides methods for developers to integrate Octiv document generation and reporting data into applications. The Octiv REST API is designed to be simple to use, well documented, and reliable.

Copy/Paste Formatting

When you paste text from an outside source into a document, you will now receive an option to control the formatting of how the text will paste. You can choose either of the following options when you paste text: Keep Formatting, Remove Formatting, or Paste as Plain Text.

Set Custom Color Picker in Document Themes

An admin can now define up to 3 additional custom colors that are available to be selected when documents use a specific theme. Users can now select one of the custom colors if the default color palette does not meet their needs.

Text Message (SMS) Service Update

With Improved SMS messaging we have been able to vastly improve our SMS delivery rate. In addition to better deliverability of text messages for those with international numbers and carriers, all text notifications going forward will come from one single phone number (317-550-4586) and messages will be grouped in the same conversation.

Display Document Version in Email Notification

When a new version is published (beyond version 1), all recipients are notified via email that there is a new version to review. We will now include the version number in email subject and body to provide more context to all parties involved in a negotiation process.

Updates to Task Assignment Behavior

Octiv update makes it easy for sales teams to organize anywhere, from any device.Users now have the ability to assign tasks to anyone in your organization to review, approve, or edit certain sections of documents by a specific due date. Previously you could only assign tasks to people who reported to you. Users can also comment and communicate on document tasks and track them toward completion with email and notifications in the Octiv Message Center.

Asset Quick Preview

It's frustrating when you are looking at Assets and aren't sure which one you want to add to your document. When hovering over Images, Files, and Page Content, click on the new "eye icon" on the left-hand side to expand the Asset for a larger preview of the content.

Preview Variables in a Template

While building a template, you now have the option to select an opportunity in order to preview how that template will look when used for a real opportunity. This will make it easier for admins to confirm that dynamic document templates are working as designed. In addition, we have also updated the UI to make it easier to see what data in a document is dynamic. Variables will be highlighted in yellow and variables without a value will have red text.

Create Additional Email Templates

Email templates let you create personalized customized message for each stage of the sales process. With Octiv you can now save multiple email templates to your account to be used and managed by your entire team. As an administrator, you can have personal and shared email templates. Shared templates are immediately available to all users. Personal templates are only accessible from your account. More importantly, you can use the data you have in Salesforce to work with to craft personalized messages to customers.

Page Activity Report

See which content has the most customer engagement. The page activity report includes prebuilt filters to analyze data by time frame and document type and can be scheduled for email delivery or downloaded as various file types on a daily, weekly, or monthly basis.

Page Title only in PDF Output

We added a new checkbox in themes to only show the Page Name in the PDF output. This would simply remove the SECTION NAME portion from the PDF output. This new functionality could be used in conjunction with "Include Section Headings in PDF" in the ToC setup to show the Section Name once at the beginning of the section and then the page name every time it switched to a new page.

Indicator for Deleted User in Document List

In the Document List view today, if a document is owned by a deleted user, the name of the user is listed along with the title of the document, but does not include the (Deleted) label. This will now show that the user who owns the document has been deleted from the account.

Export Text Snippets

Text snippets can be a useful way to provide direct access to subject matter expertise in bite-sized pieces, in order to build a personalized document without gathering those subject matter experts every time you’re building a new proposal or document. Things change over time though, and that information is useless if it isn’t updated regularly. If your organization maintains more than a handful of text snippets, the regular management can become time consuming. We are working on better ways to manage large amounts of data, and one way we’ve exposed for text snippets is to export that data to work with team members on updates.

Import Text Snippets

We've added the ability to import and override old text snippet data. Instead of adding a text snippet manually, select “Bulk Upload” to import a list of text snippets. Simply prepare a CSV file to rename the text snippet, replace the text of the snippet, adjust the visibility, lock for edit, and adjust the publish and expiration date.

Sharing Documents & Assets Across Workgroups

Sometimes, there are projects that require collaboration across multiple workgroups in order to complete a quote, proposal, or contract. You may also have assets that will be used by multiple workgroups, and you need the flexibility to share those assets across workgroups. This enhancement is to expand the capabilities in sharing documents with collaborators across workgroups. This enhancement will also allow the sharing of Assets and Templates that weren't originally created in the Global workgroup. As a standard user who has the right permissions, I can share a document between any workgroups that I’m a part of, so that I can collaborate with individuals who may not be in the workgroup where this document originated. This is available as part of the privacy settings for the document or asset, just as it was before. Note: that the user must have the permission to edit document privacy in order to take advantage of this new functionality.

Theme Creation as Permission

Themes were considered a part of the global workgroup, rather than a permission for individual users. We've now added "View Managed Themes" as a permission, so that organizations using workgroups can allow administrators of those workgroups to manage their own themes, rather than relying on administrators at the global level.For shared themes, edit/delete links won't be available at an individual workgroup level, but duplicate is still available.

Table of Contents Added to Contracts

We're introducing the advanced Table of Contents settings to contracts, which is currently available in proposals. Content managers will be able to use the same Table of Contents settings in contracts that they can use in proposals today.

Present Common Recipients

When sending a document to recipients, you'll see a list of anyone you've ever sent a document to in the past. In the example below, I typed the letter "d", and I see anyone who I personally have added as a recipient to any document that starts with "d". Once I select a recipient, the fields populate automatically.

Add CTAs without Creating a New Version

All too often, we publish documents with minor things missing, and a new version feels a little overkill. We've also heard that people want to be able to allow for change requests upon request, but they don't want the option to appear so obvious to the recipient. Now, you'll be able to add any CTA outside of a change request, so if it's forgotten or decided upon later, it can be done in a simple step without the extra hassle and added automatic notifications.

View All Documents Across Their Workgroups

This enhancement will be particularly useful for managers, or others who are a part of multiple workgroups. This will change the behavior of the Document List for anyone who is a part of multiple workgroups, as they will now see all documents across all their workgroups by default rather than needing to change the workgroup context in the top right-hand corner.

New Workgroup Filters Available

To filter to one or more workgroups, these users can use the new Workgroup filter in the left-hand panel. (1) Filtering to "My Workgroup" will display documents that are associated with the workgroup you have selected in the top right-hand corner of the screen. (2) Filtering to "Shared Documents" will display documents that are part of the Global workgroup. (3) If you want to see a combination of workgroups, click "Filter Workgroups" and select from the list of workgroups to which you have access.

New Workgroup Selector on Document Creation

Those who have access to multiple workgroups will now notice a workgroup selection when creating a new document. The selector will default to the current workgroup that is selected in the top right-hand corner of the screen. The user will be able to switch to a different workgroup if needed.

Ability to disable the link display on PDF downloads

In the spirit of moving away from custom CSS and scripting in order to configure templates, we've added an option for a common custom CSS setup we perform for clients. When PDF download is enabled for a document, you can hide the link display from the download as an option in the UI, rather than writing custom CSS to accomplish this taskSet this option in the Theme settings for PDF download.

Import Editable Slides

You can now import and convert Microsoft Powerpoint (PPTx) into Octiv Presentations (HTML5). The ability to import editable slides will allow content managers and sales reps to easily import presentations into the application, and if any adjustments need to be made - large or small - they can be easily done right from within Octiv. This keeps your sales reps in Octiv and doesn’t require them to go to another application to make adjustments.
